Push Gallery Data to Clowder Mobile App

This is beta functionality, now available to all customers of OpenWater + Clowder that are licensed to use Integrations Hub, during the beta period, you must explicitly request this feature to be enabled and you are limited to using it on one active conference at a time.

Enable the Sync

Request your Clowder representative to enable the integration between OpenWater and Clowder. Assuming you are already on the current latest version of Clowder, this connection can be established within 1 business day, and if not an upgrade can be scheduled at a mutually agreeable time, typically within 14 business days.

Configure OpenWater

  1. Ensure you have completed the steps of creating and scheduling sessions

  2. Ensure that you have configured your gallery

  3. When configuring the Scheduler Gallery, configure the Mobile App Settings

Configure the Sync

  1. The sync will be configured for you during the beta stage to 1 OpenWater Scheduler and 1 Clowder Event. This limitation is for simultaneous events, after an event is over you can sync the next one. Once the beta restrictions are released you have multiple simultaneous events.

  2. The sync dashboard will show a preview of items in the OpenWater gallery that are not up to date in Clowder, press the Rebuild Both Caches button to ensure the preview is up to date.

  3. This step takes about 5 minutes per 1000 sessions. Once the caches are rebuilt, we suggest you sync 1-2 sessions and see how they look in the mobile app. Continue to tweak the Mobile App Settings in OpenWater and re-sync until you are satisfied. Then proceed to a Sync All.

  4. The sync all process will sync. This takes about 1 second per newly created session or updated session.

  5. It will only update items it creates, and it will only delete items it creates, thus you can safely add your own sessions in Clowder, however any manual edits you make to a Clowder session will be overridden in the next sync.

FAQ

  1. Is the sync automatic?
    No, similar to other pushbacks to mobile apps any sync action is deliberate.

  2. How long does the sync take?
    The first sync should take around 1 second per session, a subsequent sync will take 1 second per changed/newly created/deleted session, thus presumably much less time.

  3. Do I need to keep my browser open while the sync is happening?
    Yes, the sync carefully updates 1 session at a time and displays logs. The sync also retries if there is a network issue.

  4. How are participants such as organizers, chairs and speakers sync'd?
    The form builder content in OpenWater can be brought over to Clowder via use of the layout engine, however speakers will not be mapped to the speaker widget within Clowder.
