Show or hide speaker profile fields by participant type

Use participant type groups to show, hide, or require profile fields based on each speaker's role.

Not every profile field is relevant to every role. You may need a headshot from people who will appear on stage, but not from co-authors who won't. Participant type groups let you show, hide, or require profile fields based on a participant's role. If you've used category groups elsewhere in OpenWater, this works the same way.

Setting this up takes three steps: create the groups, assign each participant type to a group, and then choose which fields each group sees.

Understand the default group

In Participant Settings, click the Participant Type Groups tab. Every program has a (Default) group, which controls how the profile form looks before a participant type has been determined. On its Settings tab you'll see every profile field and its current visibility.

Create your groups

Click Add Participant Type Group. Give the group a Name and an optional Description, then click Save.

Add a group for each combination of fields you need. In this example, we've created Needs Headshot and Does Not Need Headshot.

Assign each participant type to a group

Every participant type needs a group

Once you start using participant type groups, every participant type must be assigned to one. A warning appears at the top of Participant Settings until they all are.

Click the Participant Types tab and click Select on a type. Choose its Participant Type Group, then click Save.

Repeat for every type. The Participant Type Group column shows each assignment.

Choose which fields each group sees

Return to the Participant Type Groups tab, click Select on a group, and open its Settings tab. For each profile field, choose one of the following:

  • Default — Use the field's own settings from the profile form.

  • Required — Participants in this group must complete the field.

  • Not Required — The field is shown but optional.

  • Hidden — The field doesn't appear for participants in this group.

You can also use Set All as Default, Set All as Required, or Set All as Hidden to update every field at once. Click Save.

In our example, Profile Picture is set to Hidden for the Does Not Need Headshot group, so authors never see it.
