If you allowed applicants to be participants, submitters become participants on their own submissions automatically. To bring in anyone else, such as co-authors, a primary speaker, or a moderator, add a Participants field to your submission form. It works much like a table field: the submitter adds one row per person, and each person is attached to the submission in the participant type you choose.
You can add Participants fields to your session form the same way, so session organizers can attach speakers and moderators to the sessions they build. The steps below use a submission form, but the field settings and the experience for the person filling out the form are identical.
Add a Participants field
Open the submission form page where you want to collect speakers and click Edit Form Fields. For a session form, go to Sessions > Session Configuration and click Manage Fields instead. On the Add Field tab, click Participants.
In Field Settings, configure the field:
Label — The heading submitters see, for example “Primary Speaker.”
Participant Type — The role assigned to everyone added through this field. This setting is required.
Maximum Allowed — The most people that can be added. For example, enter 1 to allow only one primary speaker.
Row Name / Row Name Plural — Optional names for each entry in the field.
Hide field from Applicants / Hide field from Judges — Control who can see the field.
Click Save. Add one Participants field for each role you want to collect. In this example, the form has Primary Speaker (maximum 1), Authors (maximum 10), and Moderator (maximum 1).
One field per participant type
Each participant type can be used by only one Participants field on a form. Types that are already assigned to another field can't be selected.
What submitters see
On the submission form, each Participants field shows an Add Item button. When a submitter clicks it, they can search for an existing participant by name or email.
If the person isn't found and manual entry is allowed, the submitter clicks + Enter details manually, enters the person's First Name, Last Name, and Email, and clicks Add.
The person is added to the field. Once the submission or session is saved, they're attached as a participant and receive any tasks assigned to their role.
